Upcoming Changes to Team Member Licenses for Microsoft Dynamics 365

February 27, 2020

Updated April 6, 2020: Microsoft announced the Team Members license transition has been postponed until December 31, 2020. This decision will give organizations more time to complete any validations and changes necessary. The article has been modified to reflect the new transition date.

If you have Team Member licenses for your Microsoft Dynamics 365 cloud solution, it may be time to complete a few validations. Indeed, Team Member licenses available since October 2018 have had restrictions, namely regarding write permissions on accounts and custom entities. While these restrictions were not enforced by Microsoft, they will be after December 31, 2020.

Will my organization be affected by this change?

While applicable restrictions should have been configured in your security parameters, some users may still have access to modules whose access is not permitted by Team Member licenses. After December 31, 2020, these restrictions will be enforced on all online Team Member licenses as well as those purchased or renewed after this date.

According to JOVACO, the 2 main implications are the following: users will no longer be able to modify and update accounts and will be limited to 15 custom entities. They will also no longer be able to access the Customer Service Hub or the Sales Hub and will be restricted to the following designated modules:

  • Customer Service Team Member
  • Sales Team Member
  • Project Resource Hub

What do I have to do?

It is recommended to validate the roles of users who have Team Member licenses and the possible impact of the restrictions before they are enforced on all cloud users. In order to avoid any disruption of your operations, we recommend testing different scenarios for your Team Member users and to migrate your customizations to designated modules, if necessary.

Do not hesitate to communicate with us to validate if your Team Member licenses meet current Microsoft standards. For more information, please refer to the License enforcement – Users with new Team Member licenses page on the Microsoft website. You will also find the Microsoft Dynamics 365 licensing guide.
